CTG was engaged by one of the leading federal credit unions in the U.S., serving nearly 675,000 individual and business members globally, to help transition from multiple older versions of SharePoint to Microsoft 365.
Challenge
Our client is one of the leading federal credit unions in the U.S., serving nearly 675,000 individual and business members globally. The organization was encountering a host of complex issues transitioning from multiple older versions of SharePoint to Microsoft 365. Browser latency, heavy site customization, and large amounts of stagnant data were just some of the snags holding up the migration. With less than three months until go-live, the client struggled to find the time, internal resources, and strategic approach necessary to get the migration back on track. They engaged CTG to assess and execute their migration effort to improve its efficiency, automate tasks using SharePoint online, modernize their end-user interface, and implement Microsoft Teams—all to accelerate the organization’s digital transformation and optimize mission-critical business operations, while securing access to sensitive data and functionality.
Solution
Identifying improvements to ease the client’s migration woes was a critical preliminary step of CTG’s approach. Before performing the migration, our team conducted a current-state assessment to understand where the client’s prior migration efforts were falling short of their technical and business expectations, leveraging this insight to begin developing an effective cutover strategy.
CTG used the ShareGate Inventory and Reporting tools to conduct pre-migration checks, which revealed several issues including broken links in their site navigation and large amounts of custom features and stagnant data. After confirming and validating the issues with the client’s technical team, we developed PowerShell scripts to orchestrate large migrations using ShareGate. We worked with the business to streamline site customizations and clean the metadata and permissions. In addition, CTG developers created tailored scripts to address issues that could not be handled by ShareGate.
During the migration, CTG focused on improving the look and feel of the client’s site content by developing enhanced features including a news carousel and customized links, lists, and web parts. Following the completion of the SharePoint migration, we began work on their Microsoft Teams implementation, leveraging a progressive approach where new features were gradually introduced into the environment. This included a way to improve adoption by establishing clear channels of communication to introduce tips and new features. A new extranet site was created for this purpose, however, all other sites in the Office 365 tenancy needed to be restricted to internal access to prevent sensitive data leaks.
CTG’s support of the client’s migration allowed them to successfully go live within their three month deadline. Not only did CTG deliver a seamless transition to Microsoft 365, implementing a digital workspace via Teams provided an immediate uplift in the client’s ability to collaborate and securely manage access to vital information. CTG also helped Microsoft and the client identify bottlenecks that impacted user experiences, and ultimately, improved webpage performance by almost 100%. Additionally, with the move to Microsoft 365, the client now realizes a monthly savings of $8,000 in licensing costs.
