Microsoft Teams Chatbot with SharePoint

1. High Level Design
When building a chatbot, you can use SharePoint as a knowledge base, with AI Search indexing the data to provide meaningful search results. By leveraging Azure OpenAI for natural language processing, the bot can generate relevant responses based on user queries and the data stored in SharePoint. With Azure Entra managing authentication, data security is ensured.
 
Integrating the chatbot with Microsoft Teams allows for instant access to information and automates routine tasks, improving collaboration and productivity. AI integration enhances the bot’s ability to deliver insights and respond to inquiries, driving efficiency and innovation within the organization.

2. Application Scenario: AI-Powered Travel Assistance for Employees

An enterprise has an ongoing contract with a travel agency to manage employee travel arrangements. All travel brochures, itineraries, policies, and related documents provided by the agency are stored in the organization’s SharePoint Document Library. To streamline the process and improve employee experience, the enterprise deploys an AI-powered Teams bot integrated with Azure AI Search and Azure OpenAI services. 

Employees can interact with the bot within Microsoft Teams, asking questions about travel options, policies, or specific destinations. The bot uses semantic search to quickly locate relevant information from the SharePoint library and provides personalized responses.  

For example, if an employee asks about available flights to a certain destination or company travel policies, the bot retrieves the necessary brochures or guidelines and delivers the information in a conversational manner. This automation not only saves time but also enhances the accessibility of travel-related data for employees, HR, and management.
